  • book with us by phone
  • book with us via WhatsApp
  • submit an online booking form on our website
  • buy or redeem a gift voucher/certificate
  • sign a waiver on site before taking part in the activity (paper form)
  • contact us with a question or request

3. What personal data we collect
Depending on how you interact with us, we may collect:
  • name
  • email address
  • phone number
  • booking details (date/time, number of participants, correspondence)
  • gift voucher/certificate details (voucher code, purchase/redemption status, recipient name if provided)
  • waiver details captured on the paper form (your acknowledgement and signature, date, and any information you provide on the waiver)
  • communications you send us (phone notes, WhatsApp messages, emails, and contact form messages)
Payments
If you pay using a third-party payment provider, we do not store full card details. Card payments are handled by the provider under their own terms.

4. Why we use your data and the legal bases
We only process personal data where we have a lawful basis under GDPR.
A) Bookings and customer administration
  • Purpose: manage bookings, customer records, and communications
  • Legal basis: performance of a contract (to provide the service)
B) Safety, waiver management, incident handling, and insurance/legal administration
  • Purpose: operate the activity safely, keep appropriate participation records, and manage any incidents or claims
  • Legal basis: performance of a contract and legitimate interests (running a safe, properly managed activity)
C) Gift vouchers/certificates
  • Purpose: issue, track, validate and honour vouchers/certificates, and prevent misuse
  • Legal basis: performance of a contract and legitimate interests
D) Service emails and essential updates
  • Purpose: confirmations, changes to bookings, operational messages you would reasonably expect
  • Legal basis: performance of a contract and legitimate interests
E) Marketing messages (rare and only where permitted)
  • Purpose: promotional emails or messages

5. Who we share data with
We do not sell personal data. We may share it only where necessary with:
  • providers who support our website, booking systems, email, and IT
  • payment providers (to take payments)
  • professional advisers (accountants, insurers, legal advisers)
  • authorities or emergency services where required for safety or legal reasons
Where we use service providers to process personal data on our behalf, we require appropriate confidentiality and security.

6. WhatsApp, phone, and online form bookings
If you contact us via WhatsApp, your messages are processed through WhatsApp and its associated services (including Meta companies, depending on how the service is provided). Messages may be stored on devices or within business tools we use to manage bookings. Where data is transferred outside the EEA, we rely on recognised transfer safeguards under GDPR (see Section 7). Phone bookings may involve recording booking details and keeping brief notes needed to manage your booking.
Online form bookings send details to our email/booking inbox or booking system (depending on how your form is set up) for administration.

7. International transfers
Where personal data is transferred outside the EEA (for example, if a service provider stores data in another country), we ensure GDPR safeguards are in place, such as an adequacy decision or Standard Contractual Clauses approved by the European Commission. (European Commission)

8. How long we keep your data
We keep personal data only as long as needed for the purposes set out in this notice, and then delete or anonymise it.
Typical retention approach:
  • booking and customer communications: kept for administration and follow-up, then removed when no longer needed
  • gift voucher/certificate records: kept while active and for a reasonable period afterwards for audit and fraud prevention
  • paper waivers: stored securely and retained for an appropriate period for safety, insurance, and potential claims, then securely destroyed

9. Security and storage (including paper waivers)
We take reasonable technical and organisational measures to protect personal data. For example:
  • restricting access to personal data to those who need it
  • keeping paper waivers in secure storage (such as a locked cabinet)
  • applying appropriate security controls to email, devices, and booking records
